National Charter Schools Institute (NCSI) had a lot on their plate. Over 100,000 documents from private schools across the country, to be exact. What they needed was a simple, secure way to manage them, while limiting access to individual schools. That’s why they contracted with Artemis.

Problem:

The NCSI project presented several key challenges:
  1. Organizing the enormous stockpile of information for quick and easy navigation
  2. Securing information to each individual school while allowing easy access for approved visitors
  3. Enabling visitors to view, edit, print, email, and produce PDFs from documents on the web

Solution:

Artemis created a simple system of tabs and information trees to organize each school’s documents in a straightforward way. To limit access to the information, we developed an extensive role-based security system that allows NCSI to grant visitors rights to folders, individual schools, or subsets of schools. Approved visitors can then search for their school’s documents in the NCSI web library.

The documents can be viewed in HTML or PDF formats, and users can edit, delete, or print, or email the documents. We also added a feature to help track who’s using the portals and how often they’re accessed. Finally, because the approved users, their roles, and even the documents are always in flex, we designed the system for easy updates and additions.
